How to convert to PDF/A

PDF/A is the archival flavour of PDF: everything the document needs — fonts, colour profiles, images — is embedded inside the file, so it looks identical decades from now on any device, with no external dependencies. On this page you feed the original Word or Excel document and get a validator-passing PDF/A-2b back. Fonts are embedded, transparency and encryption are stripped, and the file is made self-contained automatically.

Which files can I convert?

Word (.docx, .doc, .odt, .rtf) and Excel (.xlsx, .xls, .ods, .csv). Drop several files at once and you get one ZIP of PDF/A documents — handy for archiving a whole folder in one go.

I only have a PDF, not the original

Honest answer: re-export from the source. A reliable conversion needs the original document’s fonts and structure — rebuilding a compliant archive from a finished PDF is exactly what fails silently at the validator. If you still have the Word or Excel, convert that here. We refuse to fake compliance: a PDF simply renamed “PDF/A” would fail an audit, and that helps nobody.

PDF/A-1, -2 or -3?

We produce PDF/A-2b (ISO 19005-2) — the level almost everyone needs for legal filings, tax records and long-term storage. It keeps modern PDF features while staying self-contained. PDF/A-1 is the oldest and strictest; PDF/A-3 additionally allows embedded source files. For everyday archiving, -2b is the sweet spot.

What is PDF/A — and why it matters

PDF/A (ISO 19005) is the standard for long-term document preservation. Governments, courts, tax authorities and archives require it precisely because a normal PDF can break over time — missing fonts, external links, features that later readers drop. A PDF/A is guaranteed to render the same forever.

Is this a real PDF/A that passes validators?

Yes — genuine PDF/A-2b, produced by the LibreOffice archival export filter: fonts embedded, colour profiles included, self-contained. It passes conformance checkers like veraPDF. It is not a normal PDF with a fancy label.

Why is PDF/A not free like your other tools?

Because this one does not run in your browser. A genuine PDF/A-2b has to be produced to ISO 19005 — fonts embedded, colours tagged, the whole document self-contained — and that conversion runs on our own machines, so it costs us processing time on every file. The tools here that cost us nothing are given freely; this one is priced so that it can keep running. There is no automatic renewal: what you take is what you pay for.

How much does it cost?

150 credits per file (€1.50), or unlimited with a PDF/A day pass, or unlimited with the PDF/A subscription. Every option is one-off or clearly cancellable — there is no automatic renewal of any kind.

Do my files stay private?

Yes. The document is converted on our EU server in a temporary folder that is deleted immediately afterwards — nothing is stored or logged. This one tool runs server-side because the archival engine cannot run inside a browser.

Can I convert many files at once?

Yes — drop several Word or Excel files and you get one ZIP of PDF/A documents. Each file counts as one conversion (covered by your day pass or subscription, or paid per file).
