A spreadsheet has no pages until you give it some

A Word file at least resembles paper; a spreadsheet does not even pretend. It is an endless grid that only acquires pages at the moment of printing — and converting to PDF is printing, just to a file. That is why sheet-to-PDF results surprise people more than document conversions do: the PDF is not a picture of what you saw on screen, it is what the print engine makes of your sheet. Price lists, rate cards, timesheets and monthly reports all benefit from the same move — the recipient gets tidy, read-only pages instead of a grid they can accidentally edit, mis-sort or recalculate. The converter is broad about what goes in — .xls, .xlsx, .ods and even bare .csv files — and always narrow about what comes out: pages, exactly as the print engine would lay them.

Print areas decide everything

The PDF follows the print settings stored inside the file: print area, page orientation, scaling. A sheet without a print area prints everything with content — including the forgotten scratch calculations in column BZ and the notes you parked below the table. Thirty seconds in your spreadsheet program before converting pays for itself: select the block that should appear, set it as the print area, choose portrait or landscape, and save. That saved intent is exactly what the converter obeys, so the difference between a ragged PDF and a clean one is nearly always made in the spreadsheet, not here. The same caution applies to whole sheets: if a workbook carries scratch tabs and half-finished experiments, assume they take part too, and tidy them before the file goes anywhere.

Wide tables, and figures frozen in place

Spreadsheets are wider than paper. A table of eighteen columns will spill across page boundaries unless you intervene: turn the page landscape, use fit-to-width scaling, or accept the spill deliberately and repeat the header columns. Decide on purpose — the default is rarely the readable option. The second spreadsheet-specific fact: formulas are frozen to their calculated values, exactly as on a printout. For a record, that is precisely the point — nobody can nudge a cell and change the total afterwards — but it also means the PDF is a snapshot of one moment. When the numbers move, the sheet remains the living original and the PDF must be re-made from it. A small habit makes the snapshots trustworthy: put the date in the sheet's header or title cell, so every PDF states on its face when its figures were true.

When CSV beats PDF

A PDF is for reading; it is deliberately terrible as a data source. If the recipient needs to work with the figures — import them into accounting software, sort them, chart them — send the spreadsheet itself or a CSV export, and save the PDF for the humans who only need to look. A useful test: if the other side would end up retyping your numbers out of the PDF, you sent the wrong format — and retyping is where transposed digits are born, so the wrong format is not merely inconvenient but a genuine source of errors. What happens to my spreadsheet?

A spreadsheet can't be converted inside the browser, so this tool briefly uses our EU-hosted server: your file is written to a temporary folder, LibreOffice prints the sheets to PDF following the print settings saved in the file, and the folder is deleted the moment the conversion finishes — succeed or fail. Nothing is stored, logged or inspected.
